Twin Cities Aviation is a family owned and operated aircraft maintenance service business in operation since 1997, focused on EXCELLENCE and QUALITY SERVICE. TCA is an FAA Part 145 Repair Station, as well as a Cirrus Certified Service Center. We are currently looking for a detail-oriented and dependable Business Administrator who will support our mission by ensuring the smooth operation of all internal administrative processes.

This role is central to the organizational health of the business and works closely with leadership and operational team members to maintain accurate records, streamline internal logistics, and ensure compliance with regulatory and internal requirements. This position does not include sales or customer-facing duties, and does not involve technical work on aircraft.

Job Summary:

The Business Administrator is responsible for coordinating and executing a wide range of non-technical, non-customer-facing administrative functions. This includes document control, compliance recordkeeping, internal communications, finance-related admin tasks (such as deposits and expense reporting), and supply management. The role ensures the organization runs smoothly and remains compliant with FAA and workplace regulations.

This position supports the CEO, Chief Inspector, Director of Maintenance, and other department leads with dependable administrative support, allowing them to focus on technical and customer-facing responsibilities.



Administrative & Operational Support:

  • Receive, sort, and route mail, packages, and internal documents.

  • Prepare bank deposits, track petty cash, and coordinate with external accounting support.

  • Maintain office and administrative supplies; coordinate with vendors to order or restock supplies as needed.

  • Maintain physical and digital document filing systems, including compliance records, HR documentation, and SOP references.

  • Support internal scheduling for meetings, compliance deadlines, and recurring reports.

  • Maintain and post required regulatory documents (FAA certificates, OSHA signage, labor law postings, etc.).

  • Coordinate facility-related tasks such as vendor access, basic workplace safety checks, and maintenance documentation.

  • Support HR documentation tasks such as onboarding packets, training checklists, and internal performance tracking tools.

Compliance & Record-keeping:

  • Work with the Chief Inspector and DOM to organize records for FAA compliance (Part 145 Repair Station records, maintenance tracking forms, etc.).

  • Ensure digital records are backed up, named consistently, and accessible for audits or internal reference.

  • Maintain employee training logs, performance documentation, and support readiness for internal and external audits.

  • Assist with regulatory tracking (e.g. business license renewals, insurance updates, contractor agreements) in coordination with Seeds of Creation.


Job Qualifications:

  • Associate’s degree or higher in Office Administration, Business, or related field preferred.

  • 2+ years of administrative experience in a regulated environment (aviation, healthcare, manufacturing, etc.).

  • Proficiency with Microsoft Office Suite, Google Workspace, and common digital filing systems.

  • Familiarity with FAA Part 145 Repair Station operations is helpful but not required. However, the candidate must demonstrate a willingness to learn about 145 procedures independently, including outside of direct training time.
  • High attention to detail, time management, and accountability.

  • Ability to work independently with minimal supervision.

  • Excellent written and verbal communication skills.

  • Willingness to work on-site and handle physical items (mail, supplies, office documents).

  • Occasional lifting (up to 25 lbs) for supplies or document boxes.

  • Extended periods seated at a desk or computer.

  • Some walking between office and hangar spaces.


Work Environment:

  • Primarily in a clean, climate-controlled office space.

  • Occasional entry into hangar areas to deliver or retrieve items.

  • Low noise environment except when in proximity to shop activity.

Compensation: $22.00 - $27.00 per hour
