Position Summary
We are seeking an Aviation Services Coordinator who is organized, dependable, and energized by working in an aviation environment. This role manages the non-mechanical side of our operation: customer communication, billing, bookkeeping support, compliance recordkeeping, shipping, supplies, and tool calibration.

This person will support the Accountable Manager (President), Chief Inspector, Director of Maintenance, and the entire shop team. It’s a role for someone who thrives on keeping people and processes on track, enjoys helping others, and takes pride in creating order behind the scenes.

Key Responsibilities

Administrative & Operational Support
  • Receive, sort, and route mail and packages; handle outgoing shipping.

  • Maintain office and shop supplies; reorder proactively.

  • Prepare bank deposits, track petty cash, and coordinate with accounting.

  • Support onboarding for new employees (paperwork, training checklists, orientation).

  • Help with scheduling meetings, compliance deadlines, and recurring reports.

  • Keep ERP/CRM records up to date with notes, work order info, and billing entries.

Compliance & Recordkeeping

  • Work with the Chief Inspector and Maintenance Manager to organize Part 145 repair station records.

  • Maintain employee training logs and readiness for audits.

  • Track business license renewals, insurance updates, and certificates.

  • Post and maintain required regulatory signage and documents.

Customer & Team Communication

  • Provide timely updates to customers as directed by the Maintenance Manager.

  • Coordinate aircraft induction and delivery logistics with the shop and front desk.

  • Serve as a support contact for technicians needing documents, tools, or supplies.

Qualifications


  • Associate’s degree or higher in Business Administration, Office Management, or related field preferred.

  • 2+ years administrative or office management experience (aviation, or other regulated industry preferred).

  • Strong organizational skills; proven ability to manage multiple priorities and follow through.

  • Familiarity with bookkeeping tasks (billing, deposits, expense reporting).

  • Proficient in Microsoft Office Suite; comfortable learning ERP/CRM systems.

  • Excellent verbal and written communication skills.

Physical Demands / Work Environment

  • Primarily office-based inside a hangar environment.

  • Some walking between office and hangar spaces.

  • Occasional lifting of boxes or supplies (up to 25 lbs).

  • Exposure to aircraft noise and shop activity when in hangar.
